Boyne Island Motel and Villas Terms & Conditions are set out for the safety and enjoyment of all guests staying. Failure to adhere to our terms and conditions may result in reservation cancellation or eviction without refund.
A copy of these can be provided on request; however, they are also available upon request at reception, in unit compendiums and on our website. Please read these terms & conditions carefully. By accessing and using the Boyne Island Motel and Villas website, booking through a third party agent/website, receiving in a confirmation email or entry into our reception or motel units and villas, you agree that your access to and use of Boyne Island Motel and Villas is subject to these terms and conditions. The person booking and checking into the unit(“the Guest”), signing these conditions acknowledges and agrees that these conditions apply and extend to any person (also referred to as “Guest”) occupying or visiting Boyne Island Motel and Villas complex and/or using the facilities in the complex at the invitation of or with the authority of the Guest. Guests agree to pay all charges incurred by them and their “Guest(s)” during their stay including loss or damage to the unit.
All personal information collected from you is maintained securely and is required to meet the requirements of Australian Federal or State legislation regarding the maintenance of a guest register, for fire safety reasons, for accounting and billing purposes and to market our services to you.
We will not make this personal information available to any third party without your prior consent except where required by law or to enforce our collection of amounts owing by you. We will not knowingly permit any misuse of this data. You may request access to personal information we hold about you. If you do not provide us with this information, we may be unable to provide you with accommodation.
1. Reservations & Rates:
1.1 All reservations made directly or via Third party websites or travel agents with Boyne Island Motel and Villas are made subject to the Terms and Conditions.
1.2 Reservations are subject to availability and actual pricing at the time of booking. All quotes are valid for 24hrs only.
1.3 Any verbal quote given is an estimate only of price, which will be subject to written advice on confirmation of reservation.
1.4 Rates are subject to change at any time. This includes rates given as a discount offer on a reservation. If changes are made by the guest on a reservation which includes a discounted rate, the discounted rate will revert back to the non-discounted rate.
1.5 All accommodation bookings must be guaranteed at the time of reservation by provision of valid Credit Card details. This credit card must be valid for the entire stay.
1.6 By providing valid credit card details you warrant that you have the authority to use the credit card and you authorise Boyne Island Motel and Villas to charge the cost of your booking to the credit card in the case of cancellation or no-show penalties as detailed below.
1.7 All reservations will be confirmed by email. If email is not available, the cancellation policy will be explained over the phone.
1.8 When making a reservation Boyne Island Motel and Villas reserves the right to acquire the following information: guest(s) full name(s), contact number, email address, a valid credit card details, government issued photo identification, booker name & contact number, company organisation or government details
1.9 When you check-in you will be asked to provide photographic identification. If you are unable to provide such identification your booking may be cancelled and you will be liable to pay a 100% cancellation fee (one (1) night’s accommodation).
1.10 The person who makes/confirms a reservation on behalf of another person shall be deemed to have accepted the booking Terms and Conditions on behalf of all persons named in the reservation. It is the booker’s responsibility to ensure that the Terms and Conditions are passed onto the person/s staying.
2. Right to Refuse Entry
Boyne Island Motel and Villas reserves the right to refuse entry to the motel and facilities for any reason whatsoever including;
2.1 Where the guest has engaged in conduct on a previous occasion adverse to the motel.
2.2 Failure to pay the required security/damage deposit.
Boyne Island Motel and Villas may evict a guest or visitors at their discretion at any time should their behaviour or actions be: (but not limited to);
3.1 Inappropriate or offensive behaviour
3.3 Overcrowding – when the number of persons in the room or balcony exceeds the capacity
3.4 Throwing of objects over balconies or from windows
3.5 Physical or verbal abuse or assault towards motel representatives, security or other guests
3.6 Wilful damage to Motel/Villa property
3.7 Any incident for which the police need to be called onto the premises
3.8 If a Licensee barring is initiated or in affect
3.9 Any behaviour posing a safety threat to others
3.10 Ignoring requests to reduce excessive noise (music or other noise)
4. Payment & Damage/Security Deposit
4.1 The guest will be charged a prepayment of the cost of the first night upon reservation.
4.2 Full payment of the total reservation is due upon check-in. If full payment is not received, Boyne Island Motel and Villas reserve the right to either cancel the reservation in full which will incur the cancellation fee (see 5.2) or adjust the reservation dates as necessary. If the full payment is not received, Boyne Island Motel and Villas cannot reserve any dates not paid for under the initial reservation.
4.3 Payment may be made by in person upon arrival or prior to arrival by telephone.
4.4 Boyne Island Motel and Villas accept EFTPOS, Visa, Mastercard or Cash.
4.5 For invoiced customers only, payment may be made via Direct Transfer and must be made within 7 days of invoice being served.
4.6 If payment isn't received, Boyne Island Motel and Villas reserve the right to:
4.6.1 Cease providing services.
4.6.2 Engage in the services of a third party debt collection agency to recover the total cost of the unpaid invoice/s as well as any debt collection fees that we may incur.
4.6.3 Take the matter to court.
4.7 Guests will pay a damage/security deposit of $100.00 which is collected by credit card upon arrival. If management deem the deposit to be non-refundable due to incidentals that have occurred during your stay, then your damage deposit will be held to cover costs incurred. The damage/security deposit will be returned to the same credit card it was taken from (as long as no incidentals have arisen) and can take up to 7 business days to process. Boyne Island Motel and Villas reserves the RIGHT TO REFUSE ENTRY and to cancel any bookings that fail to supply a damage/security deposit. This will result in your initial deposit being forfeited due to our cancellation policy.
5. Cancellations and No Shows
5.1 Cancellations made up to 2 days prior to arrival will NOT incur a fee.
5.2 Cancellations made within 2 days of arrival WILL incur a charge of one night’s accommodation (prepayment).
5.3 A reservation made directly with Boyne Island Motel and Villas can be cancelled directly with the Motel, provided it is within the cancellation period.
5.4 A reservation made through a third-party booking agent, including but not limited to www.booking.com, must be cancelled through the applicable third-party booking site and will incur and be subject to the cancellation policy.
5.5 No show bookings will incur a charge of the full cost of accommodation.
6.1 NO refunds for room changes.
6.2 NO refunds for early departures.
6.3 NO refunds given after check-in.
7. Fees and Charges related to damages, breakages and additional cleaning
7.1 The registered guest is responsible and will be held accountable for any breakages or damage incurred within their room or within the associated venue including those by third parties. The motel reserves the right to process any additional charges incurred to the credit card provided at check in.
7.2 Boyne Island Motel and Villas reserves the right to on charge the guests for additional cleaning should one of the following, but not limited to:
7.2.1 Smoking in rooms will incur a $200.00 fee.
7.2.2 Lost or stolen keys will incur a $50.00 fee. Attempts will be made to contact the guest who will be given the opportunity to return keys taken. Failure to do so will result in the fee being charged to their credit card or bond.
7.2.3 Room degradation (such as vomit, bodily wastes) a $200.00 cleaning fee will be charged, plus any professional floor cleaning charges at cost, plus a daily room tariff equal to the daily tariff that we would charge if the room was available to be let or any other rate that may be agreed to by the management, in accordance with business demand on the day, until the said room has been returned to its saleable condition.
7.2.4 Excessive rubbish.
7.2.5 Spills or stains to carpet.
7.2.6 Flooding of rooms from negligent activity.
7.2.7 Use of glitter or confetti is not permitted.
7.2.8 Damage caused by decorations or attachments.
7.2.9 Damage or removal of Motel property.
7.2.10 Inappropriate use of motel property resulting in damage.
7.2.11 Cleaning and/or replacement cost of soiled beds and/or linen. Permanently stained linen will incur a replacement charge of up to $25.00 per piece of linen.
7.2.12 Cost of repair or replacement for general damage or theft of Motel property and any problem sufficient to result in a room being withdrawn from its availability to be let. In extreme cases, criminal charges will be pursued.
7.3 If a Motel room or Villa requires excessive cleaning (beyond that of non-standard cleaning), a cleaning service fee of starting from $100.00 will be charged.
8. Check-in & Check-out
8.1 Standard check-in time is 2:00pm – 6:00pm Monday - Friday, 2:00pm - 5:00pm on Saturday and 2:00pm - 4:00pm on Sunday. The name of the booking (or nominee) must be the person checking in and government issued photo I.D must be presented upon check-in.
8.2 Standard check-out time is strictly 10:00am.
8.3 For guaranteed arrival prior to 2:00pm, a room must be reserved from the previous night and therefore includes an additional nightly charge.
8.4 Whilst every effort will be made to accommodate early arrivals and late departures, it cannot be guaranteed and additional fees will be charged if you do not vacate by 10:00am. Late check out will incur the full rate of one (1) night’s accommodation.
8.5 Reception is open until 6:00pm Monday - Friday, 5:00pm on Saturday and 4:00pm on Sunday for check-ins. Should an arrival occur after closing hours, reception must be contacted and advised of arrival time in order to facilitate a late check-in.
9.1 All rooms and villas are non-smoking. There is also no smoking at the front of the motel rooms.
9.2 Penalties will be charged to guests who smoke inside or outside their rooms. (see Fees Chargeable to Guests)
9.3 Smoking is permitted on the designated grassed areas only.
10.1 Drugs – illegal drugs, substances or any paraphernalia are strictly banned. If management suspect the use of any illegal substances, they may enter the guests accommodation and immediate eviction with no refund will occur and the police will be contacted.
11. No Party Policy
11.1 Zero tolerance party policy.
11.2 In the interest of quiet enjoyment and respect for all guests at the motel, a no party policy applies to all guests staying at the property. Guests are expected to be respectful of other guests at all times, and to be quiet between 9:00pm-7:00am. No group congregations in individual guest rooms is permitted or tolerated. Immediate eviction with no refund applies to any breaches of this policy.
12. Lost Property
12.1 Lost property found on the premises is logged and kept in a secure location for a period of three (3) months. Thereafter items are either disposed of or donated to charity. Boyne Island Motel and Villas accepts no responsibility for contacting individuals in relation to lost property. Perishable items retrieved from rooms after check-out are only held until close of business that day.
12.2 Claimed items can be collected from the Motel with valid identification or alternatively a self -addressed & postage paid bag can be sent to the Motel & postage on behalf of the guest will be arranged. The Motel uses the service offered by Australia Post. The motel accepts no responsibility for items sent via post once the item has been delivered to the local post office.
13. Security and Loss Prevention
13.1 Management and staff work hard to provide a safe and secure environment. We do everything possible to ensure a secure environment is maintained and we ask that our guest do also. The guest is responsible for ensuring that the room or villa has been locked upon exiting. Boyne Island Motel and Villas does not take responsibility for any loss of personal possessions, stolen or misplaced whilst on the premises.
14. Internet Access
14.1 Boyne Island Motel and Villas offer Hot-Spot internet access allowing guests to connect to the internet wirelessly. Boyne Island Motel and Villas cannot be held responsible for non-availability of the internet network, inability of accessing a website, external intrusion, computer viruses, or non-authorised online transactions using our hot-spot.
15. Inspection of Motel Room or Villa
15.1 Management may inspect any motel room(s) or villa(s) at any time without notice should the manager’s opinion be that there is, has been or is likely to be a breach of these terms and conditions.
16. Enforcement of Terms and Conditions
16.1 Copies of these terms and conditions are available from Boyne Island Motel and Villas and our web site – https://www.boyneislandmotel.com.
16.2 Upon entry into our reception or motel units and villas, you agree that your access to and use of Boyne Island Motel and Villas is subject to these terms and conditions.
